1. Scope
This policy applies to medstackllc.com, the contact form, website attribution data, and the optional public voice demo. It does not replace the privacy notice of a dental practice, and it does not describe every production service configuration. If a customer agreement conflicts with this website policy for customer data, the customer agreement controls.
The public demo is for product evaluation. Do not provide protected health information, medical details, financial information, government identifiers, or another person’s confidential information.
2. Information we collect
Information you submit
The patient-capture review form can collect your name, work email, practice name, website, phone number, and primary treatment focus. If you email or call us, we receive the information you choose to provide in that communication.
Website and attribution information
The site stores limited campaign attribution in your browser’s local storage, including UTM parameters, first and latest landing pages, the first referrer, and an optional prospect reference. When you submit the contact form, those values may accompany the form so we can understand how the inquiry reached us. The site may also produce ordinary hosting, security, and request logs such as IP address, browser type, device information, requested URL, and timestamps.
Public voice demo
If you start the voice demo, your browser requests microphone permission and the voice provider processes the audio and conversation data needed to operate the session. The demo may capture a name, callback number, reason for calling, or appointment request when you choose to provide it. Do not provide sensitive or real patient information in the public demo.
3. How we use information
We use information to respond to inquiries, arrange product reviews, operate and troubleshoot the website and demo, prevent abuse, understand which campaigns and pages create relevant inquiries, improve product workflows, maintain security, comply with law, and establish or defend legal rights.
We do not sell personal information. We do not use public-demo conversation content to provide medical advice, make clinical decisions, or create a patient record for a dental practice.
5. Retention and security
We retain website inquiry and operational information for as long as reasonably necessary for the purposes above, our legal obligations, dispute resolution, and security. Retention for production call recordings, transcripts, summaries, and logs is set in the customer’s implementation scope instead of assumed from this website policy.
We use administrative, technical, and contractual safeguards designed for the nature of the information. No internet transmission or storage system can be guaranteed completely secure, so please use the public website only for non-sensitive business inquiries.
6. Your choices and rights
You can decline microphone access and use the rest of the site without starting the demo. You can clear local storage through your browser settings. You can also ask to access, correct, or delete information you submitted to MedStack, subject to applicable law and records we must retain.
Depending on where you live, privacy law may provide additional rights. To make a request, email us using the address below. We may need to verify your identity before completing a request.
7. Children
The site and service are intended for business users and are not directed to children under 13. We do not knowingly collect personal information from children through this website.
8. Changes to this policy
We may update this notice as the website, vendors, or legal requirements change. The date at the top shows the latest revision. Material changes will be posted on this page.
